Cancellation & Refund Policy

How cancellations, transfers and refunds are managed for course bookings

This policy explains how cancellations, transfers and refunds are handled for training courses delivered by the Academy of Regenerative Medicine.

This policy should be read alongside our full Terms & Conditions.

1. How to Cancel a Booking

To cancel or request a transfer, please send a formal email to:

info@thearm.co.uk

Official Support Channel

Your email must include:

  • Full Name
  • Course Title and Date
  • Reason for Cancellation
  • Booking Reference

Cancellations are effective from the date written notice is received during office hours (Monday–Friday, 09:00–17:00 UK time).

2. Notice Periods and Refunds

28Days+

More than 28 days before the course

A refund may be issued, subject to a standard administration fee covering processing and allocation costs.

Refund Possible
14-28Days

Between 28 and 14 days before

No refund is normally available. A course transfer may be offered solely at the discretion of the Academy management.

Discretionary
-14Days

Within 14 days or non-attendance

Strictly no refund and no transfer. The booking is considered final and resources have been fully committed.

No Refund

Exact terms and any applicable fees are confirmed at the point of booking depending on the specific programme.

3. Transfers to Another Course Date

One transfer may be offered per booking
All transfers are subject to availability
An administration fee will commonly apply
Must be requested within valid notice periods

Additional or late requests are not guaranteed and will be handled on a case-by-case basis.

4. Substitutions

Peer Substitution Policy

In some cases, you may nominate another eligible healthcare professional to attend in your place.

Substitution requests must be made in advance.
The replacement delegate must meet the course eligibility criteria.
An administration fee may apply.

We reserve the right to refuse substitutions if eligibility or governance requirements are not met.

5. If the Academy Cancels a Course

In the unlikely event that we must cancel a course, delegates will be offered:

Option A

Immediate transfer to a future scheduled date.

Option B

A full refund of the course booking fee.

Please Note: The Academy is not responsible for any non-refundable travel or accommodation costs incurred by delegates.

6. Force Majeure

The Academy is not liable for disruptions or failures caused by events beyond our reasonable control, including but not limited to:

Extreme WeatherGovernment RestrictionsPublic Health EventsVenue FailuresIndustrial Action

Under such circumstances, bookings may be deferred to a later date or refunded at our absolute discretion.

7. Important Notes

No refunds once training has already been attended or partly attended

Delegates must confirm eligibility and professional indemnity before booking

Course booking implies full acceptance of this policy and our general Terms & Conditions
